What
The Staff visits report shows how often care staff visit housing units and how long they stay. You can break this down by time, time of day, department, staff member, and housing unit.
Visits are measured with the Nobi Badge that care staff wear.
Why
Care time is precious. This report shows where your team spends its time. You see which housing units get many visits, which get few, and at what time of day your team is busiest.
Who can see this report
Users with the Manager role on the community can see this report. Users and technicians cannot.
The report is in the menu of the Nobi web application on a computer. It is not in the menu on a phone.
You see the Staff visits tab only when at least one staff member of your community has an active Nobi Badge. Without it, Care performance opens on the Responsiveness tab.
Open the report
- Go to Insights > Care performance.
- The Staff visits tab opens first.
In the top right corner, there are two buttons:
- Export Excel: click to download the report with your currently applied filters.
- Print / PDF: open your browser’s print window to print or save as PDF.
Before you start
- The report is always up to date. Nobi calculates every figure again each time you open the report.
- Days and hours follow your community’s time zone.
- The report starts from the first month with a staff visit. There is no minimum number of days, as in the falls and resident calls reports.
- The report fills once staff with a Nobi Badge have visited a housing unit.
Which visits count
A visit starts when a staff member’s Nobi Badge enters a housing unit. It ends when the badge leaves.
| Situation | Visit counts? |
|---|---|
| Staff member’s Nobi Badge enters and leaves a housing unit | Yes |
| A short walk through a room | Yes, there is no minimum duration |
| The same staff member enters twice | Yes, as two visits |
| Visit to a common area | Yes |
| Visit that is still going on | No, it counts once the badge has left the housing unit |
| Badge assigned to a resident | No |
| Badge not assigned to anyone at the start of the visit | No |
| Staff member from another organization | No |
A visit counts for the staff member the badge was assigned to at the start of the visit. Setup mode and smart monitoring do not matter for staff visits.
Filter the report
You can set your filters at the top. The report will apply these automatically when you select them.
| Filter | What it does | Default |
|---|---|---|
| Department | Choose all departments or one department type, such as Memory care or Assisted living. Departments without a type show as “No department type”. | All departments |
| From / To | Choose the exact start and end date. A visit counts on the day it started. A visit that runs past the end date counts only up to that end. | The last four complete months |
| Group by | Show the visits per Month, Week, or Day. Weeks start on Monday and show as “WK” plus the week number. This only changes the “Visits over time” chart. | Month |
The summary
At the top, you see three figures.
| Figure | What it shows |
|---|---|
| Total visits | All staff visits in your period and department. |
| Visits per staff member | Total visits divided by the number of staff members who made a visit. Below it, you see the number of staff members. |
| Median visit duration | The middle visit duration. Below it, you see the average. |
Visits over time
A bar chart with the number of visits per month, week, or day. It follows your Group by choice.
When visits happen
Two charts, side by side. Both show the 24 hours of the day, in your community’s time zone.
| Visits by time of day | Visit duration by time of day | |
|---|---|---|
| What each point shows | The number of visits that start in that hour | The total time staff are in housing units during that hour |
| A long visit | Counts once, in the hour it started | Is spread over every hour it covers |
| Unit | Visits | Hours |
Example. In one week, three visits:
- Monday 14:10–14:30: 20 minutes in the 14:00 hour.
- Wednesday 14:50–16:10: 10 minutes at 14:00, 60 minutes at 15:00, and 10 minutes at 16:00.
- Friday 14:05–14:15: 10 minutes at 14:00.
Then “Visits by time of day” shows 3 visits at 14:00. “Visit duration by time of day” shows 40 minutes at 14:00, 60 minutes at 15:00, and 10 minutes at 16:00.
Good to know: “Visit duration by time of day” is a total over your whole period, not an average per day. A longer period gives higher numbers.
What you learn from the two charts together. The left chart shows when staff enter a housing unit. The right chart shows when they are really there. An hour with few new visits but a lot of time means long visits that started earlier, for example during morning care.
Where staff time goes, by department
You see this section when there is more than one department or department type to compare. It has two blocks:
- By department type: only with “All departments” selected and more than one department type.
- By department: when there is more than one department. With one department type selected, you only see the departments of that type.
Each block has two ring charts and a table.
| Chart | What it shows |
|---|---|
| Visits | How the visits are spread across departments. |
| Visit duration | How the visit time is spread across departments. |
What you learn from the two charts together. A department with a bigger share of time than of visits has longer visits than average. A department with a smaller share of time has shorter visits.
These are totals. They do not correct for the number of residents. A large department naturally has a bigger share.
The table. Per department: visits, total duration, and median duration. The department with the most visits is at the top.
Visits by staff member
A stacked bar chart, Time per staff member, by housing unit:
- One bar per staff member, with the longest total time at the top.
- Each bar is split into the housing units that staff member visited.
- The axis shows hours as decimals: 1.5 means 1 hour and 30 minutes.
- Hover over a part to see the housing unit, the time, and its share of the bar.
The table lists every staff member with a visit: visits, total duration, and average duration. The staff member with the most time is at the top. A staff member without a name shows as “Unknown staff member”.
Visits by housing unit
A stacked bar chart, Time per housing unit, by staff member:
- One bar per housing unit, with the longest total time at the top.
- Each bar is split into the staff members who visited that housing unit.
The table lists every housing unit with a visit: visits, total duration, and average duration. The housing unit with the most time is at the top. Housing units without a visit are not in the list.
Export to Excel
Export Excel downloads the report with your current filters. The file has these tabs: Overview, Over time, By time of day, By department type, By department, By staff member, By housing unit, and Time per unit by staff. All durations in the Excel file are in minutes.
Definitions
Visit: the time a staff member’s Nobi Badge is in a housing unit, from entry to exit.
Staff member: the person the badge was assigned to at the start of the visit.
Median duration: the middle value. Half of the visits were shorter, half were longer. A few very long visits do not pull it up.
Average duration: all visit times added up and divided by the number of visits. A few very long visits can pull it up.
Times show as h:mm:ss. Chart axes show decimal hours.
Keep in mind
- Short walk-throughs count. A staff member who briefly passes through a room makes a full visit. This lowers the median duration.
- The report does not correct for the number of residents. Compare departments of a similar size, or look at the duration per visit.
- Totals grow with the period. Compare periods of the same length.
Tips
Make sure every staff member wears their own Nobi Badge during each shift. Then every visit counts for the right person, and your report stays accurate.
